Terms of service

Last updated 5 November 2026 · Pilot version

Who you are dealing with. Thoth HQ is run by Louis O'Sullivan, a sole trader in the UK. Contact: louis.j.osullivan@gmail.com. These terms are a contract between your company and him.

What you get. Access to the Thoth HQ website for your company and the people you invite, to book jobs, schedule visits, record what engineers did on site and produce job sheets. The service is for businesses, not consumers.

Free trial and paying. Every new company gets 30 days free with no card needed. After that, a monthly subscription based on how many people are on your team (see Pricing), paid against a monthly invoice we email you. There's no minimum term: cancel at any time and you won't be charged again. No refunds for part months. Prices may change with at least 30 days' notice by email, except that a company which joined during the pilot keeps its half-price rate for the first 12 months of paying.

Your account. The person who creates the company account is responsible for it, including who they invite and what their team records. Keep your logins private and tell us if you think one has been compromised.

Your data. Your company's records stay yours. We only use them to run and support the service, as set out in the Privacy page. You can download your customers, properties, jobs and visits as spreadsheets from Settings at any time, and if you leave, your data is deleted within 30 days unless you ask us to keep it.

If the service ever closes. You would get at least 60 days' notice by email and the full export above, so nothing is lost.

Your customers. You are responsible for what your team records about your customers and for having permission to send them texts and emails through the service.

What we promise. We aim to keep the service available around the clock and to fix problems quickly, but we can't guarantee it will never be down. We'll give notice of planned maintenance where we can. Keep your own copies of anything critical, such as job sheets you have sent to customers.

What we don't accept liability for. Loss of business, profits or data caused by the service being unavailable or by mistakes in records your team entered. Our total liability to your company in any 12-month period is limited to the subscription you paid in that period. Nothing in these terms limits liability that can't be limited by law.

Fair use. Don't use the service for anything unlawful, to send unsolicited messages, or in a way that harms other companies' use of it. We may suspend an account that does.

Ending the agreement. You can close your company account at any time by emailing us. We may end the agreement with 30 days' notice, or immediately if these terms are seriously broken.

Changes. We may update these terms; the date at the top shows the current version and we'll email account owners about significant changes.

Law. These terms are governed by the law of England and Wales.
